How Santex Works with AI Agents

The same technology we build for our clients is the one our own teams use every day across Marketing, Sales, Operations, and Finance.

When the time came to adopt artificial intelligence, our team made the same decision we recommend to our clients: don’t wait for the perfect scenario. Start with a specific business problem, measure the outcome, iterate, and scale from there.

Today, Santex relies on AI agents across four critical business functions: Marketing, Sales, Operations, and Finance. Not as an experiment, but as part of everyday work. The same agents we build for our clients help our own teams make faster decisions, identify risks before they escalate, and spend more time on work that creates real value.

When Growth Made Information Harder to Find

As Santex expanded across more clients, projects, and geographies, the information teams relied on became increasingly distributed across multiple systems.

Marketing qualified leads manually, searching through different platforms without a clear way to prioritize opportunities. Sales prepared every customer meeting from scratch, with limited visibility into website activity and CRM history. Operations teams often identified churn risks only after they had become difficult to reverse. Finance answered operational questions by navigating the ERP and manually exporting reports.

The problem wasn’t a lack of data. It was the lack of integration and real-time access. The information already existed, but turning it into decisions required too much manual effort.

Specialized AI Agents for Every Business Function

Instead of deploying a single general-purpose assistant, Santex built a fleet of specialized AI agents, each designed around the workflows of a specific team.

The Marketing Agent automatically scores incoming leads, monitors website visitors, generates market intelligence, prepares news clippings and content, and delivers insights directly in Slack. It can also generate documents and dashboards using information stored in Google Drive and other business tools.

The Sales Agent prepares pre-meeting account briefings, identifies companies showing buying intent, and cross-checks prospects against the CRM to avoid duplicate outreach.

The Operations Agent, built on the evolution of STX Insights and STX Meeting Analyzer, detects accounts at risk, documents meetings automatically, suggests relevant questions before customer conversations, and provides contextual information about projects, teams, and collaborators.

The Finance Agent answers financial questions in natural language, generates collection reports automatically, and identifies delayed payments before they become operational issues.

Each agent has a clearly defined role, works with business-specific context, and operates under human supervision. Every team continuously evolves its own agent by incorporating new knowledge, workflows, and capabilities. People remain responsible for decisions; AI handles the preparation.

What Changed

The impact goes beyond automation. Some of the most meaningful improvements include:

  • Lead qualification evolved from manually searching three different systems to automated scoring in minutes.

  • Customer meeting preparation was reduced from hours to minutes, with structured business context.

  • Meeting documentation became automated through STX Meeting Analyzer.

  • Churn risks can now be identified proactively.

  • Financial questions are answered in seconds without navigating multiple enterprise systems.

  • Customer knowledge is no longer concentrated in one or two individuals.

  • Agents identify patterns and recurring behaviors by analyzing data from multiple sources in seconds.

Why It Matters

Everything we offer our clients is something we build, use, and validate internally first.

Every AI agent we deploy starts with the same principle: artificial intelligence should create measurable business value from day one. It should integrate with the systems organizations already use, augment the expertise of their teams, and always keep people at the center of decision-making.
